User guide
How to use this tool
For invited users running a strategy assessment, and for admins building playbook content. Follow these steps from your work browser.
- Open the invitation or sign-in email from your admin (check spam if you do not see it).
- Prefer the one-time code: go to https://app.lxmware.com/login, enter your work email if asked, then enter the code from the email. Codes are more reliable on corporate email than one-click links.
- If you use the one-click button instead, confirm in the browser when prompted. If the link says it expired, request a new code from the login page.
You only see playbooks your admin has granted you (plus any playbook you created yourself, if applicable). If the start screen is empty, ask your admin to grant playbook access.
Start a new assessment
- After sign-in you land on Start (or choose New assessment in the top nav).
- Choose a playbook — the strategy domain you were invited to use (for example loyalty or another program type).
- Choose a discovery path — the preset that best matches the client situation (new vs existing program, assessment mode, and related defaults).
- Continue into the wizard. A session is created and saved as you go.
Complete the intake form
Before strategy questions begin, you complete an intake form for the session. These inputs shape recommendations, risks, and the roadmap.
- Fill in the required fields for your playbook — typically company name, industry, and other discovery details shown on the form.
- If available, add client context materials or notes that help the assessment stay grounded in the real situation.
- When the form is valid, choose Continue to strategy to save intake and move forward.
- If you need to move on without every field, you can use Skip for now — you can still run the workshop, but outputs may be less tailored.
After intake, you may see a short briefing or alignment step for the company before the main question flow.
Complete the wizard
- Answer each question based on the workshop discussion. Choices drive recommendations and the implementation roadmap.
- Use notes fields when you want context captured for the session summary.
- You can move forward through the flow; progress is stored on your session so you can return later from My sessions.
- When you finish, submit to generate results (roadmap, strategy recap, and related outputs for that playbook).
Review the results page
After submit, you land on the results page for that session. Scan these sections top to bottom:
- Strategy recap — north star, pillars, and phase summaries generated from your assessment.
- Session notes summary — condensed notes from the workshop (when notes were captured).
- Implementation roadmap — cards organized by horizon (for example Crawl / Walk / Run) so you can prioritize what to build now vs later.
- Optional supporting sections such as session context, risks & watchouts, and roadmap guidance when your answers produce them.
Use Open full-page view under the roadmap intro when you want a larger board for facilitation.
Edit content on results
- In the strategy recap, use each block’s Edit control (for example North Star, pillars, or phase summaries) to refine wording for the client. Changes save to the session.
- On the roadmap, drag cards between horizons when sequencing needs to change for facilitation. Horizon moves are saved for that session.
- Open a roadmap card when you need implementation detail for a specific choice (where details are available).
- Edit before sharing so the customer link and PDF reflect your final wording and sequencing.
Share, PDF, and print
On the results page, open the Share button in the toolbar:
- Copy customer link — creates a shareable URL for stakeholders (view-only deliverable, not your live answer editor).
- Open preview — opens the customer deliverable page so you can review what they will see.
- Email link (your mail app) or Send email to customer — send the link with an optional personal note.
- Regenerate link — invalidates the previous URL if a link should no longer work.
On the deliverable preview / share page, use Download PDF to generate a PDF of the roadmap package, or Print for your browser’s print dialog (you can also save as PDF from there). Keep Zscaler off while downloading or printing so the export finishes reliably.
Return to past work
Open My sessions from the top nav to reopen completed or in-progress assessments you own. You will not see other people’s sessions.
Tips
- Always turn Zscaler off before signing in, loading results, or exporting a PDF — especially on Salesforce or other corporate networks.
- Use the email code first if links fail or expire.
- One playbook at a time: start a new assessment when switching playbooks or client contexts.
- Need access to another playbook? Ask your admin — they control visibility on the Users tab.
Workflow at a glance
Build content in this order. Finish by running the playbook in the wizard to verify the consultant flow.
- Playbook — the strategy domain you are configuring.
- Question Groups — which version of the workshop to run (discovery-only, full-day, B2B/B2C, and so on). Sessions can select a group directly.
- Questions & answers — curate membership, author or edit questions in the side panel, generate answer options, and set Selected? / Horizon in-line.
- Finalize — run the playbook in the wizard from the setup checklist.
Follow the Next: success panels after each create or save — they keep you on this path.
Create a playbook
- Open Playbooks in Admin.
- Expand Create playbook, enter a name (the key is generated for you), optional description, and Salesforce Solutions as needed.
- Choose Create. You land on the playbook hub with a setup checklist to add Question Groups and questions.
Create a Question Group
Question groups let you run different versions of the workshop for the same playbook — for example discovery-only vs a full-day session, or B2B vs B2C wording.
- Open Question Groups (from the success CTA, hub checklist, or Admin nav).
- Create a group with a clear label and optional scenario metadata (industry, business model, and so on).
- After create, choose Manage members — that is where you decide which questions appear for this group.
Manage members
Manage members is the primary place to curate which questions belong on a group’s path.
- Check or uncheck questions to include or exclude them. Changes stay local until you choose Save membership.
- Use filters (question group, section, search) and Members only to find what you need. Select all shown applies to the filtered list.
- Choose Author a new question to create a question already linked to this group, or Edit / Clone an existing one. Authored questions open in the side panel described next.
- After authoring variants and finishing your checkbox selection, always Save membership so the path’s question set is committed.
Author questions in the side panel
Edit, clone, and author flows use the same side panel from Manage members (and from Manage Questions). From Manage members, the current group stays linked and cannot be removed by accident.
- Choose a Question Type, then write the Question text. Use Recommend question when you want AI help drafting the question (and related fields) from the surrounding flow.
- Pick a Section so the question lands in the right part of the wizard.
- Build Answer Options. Add options manually, or use generate / regenerate when you want AI to propose labels (and related option fields).
- When mapping controls are available for linked groups, set Selected? and Horizon on each option in-line in the panel — this is part of finishing the question, not a later tab in this guide.
- Use Advanced only when needed (display order, enrich on save, hide from roadmap results, additional question groups).
- Save the question in the panel, then return to the list and Save membership if you still have unchecked membership edits.
When every question your path needs is authored, answered, mapped in-line where applicable, and membership is saved, this workflow is complete.
Manage Questions (library view)
Questions in Admin is the playbook question library. Use it when you want to browse by section, delete a question, or manage membership without opening Groups first.
- Filter by group (including Ungrouped), section, or search. Rows keep the familiar section grouping and pills.
- Edit and Clone open the same side panel as Manage members. Delete removes the question (with confirmation).
- Select a concrete question group in the filter to enter membership mode: checkboxes beside each question, Author a new question, Members only, Select all shown, and Save membership — same behavior as Manage members.
- Advanced options (collapsed at the bottom) holds batch enrichment and a freeform Add a Question form. Prefer Author a new question while a group is selected so the new question is linked to that group automatically.
Admin tips
- Keep one primary question group per client scenario unless you have a clear reason to split further.
- Author question and answer content (including Selected? / Horizon when shown), then use Finalize on the playbook hub to run the playbook in the wizard.
- After Author / Edit / Clone, remember Save membership if other checkbox changes are still pending.
- Use Recommend question and answer-option generation to move faster, then review labels and mappings before you save.
